What is a grant reporting calendar?
A grant reporting calendar lists every report a funder expects during the life of an award — interim or periodic reports plus the final/closeout report — and when each one is due. Missing a reporting deadline can delay a draw-down, trigger a compliance review, or hurt your odds of renewal, so most grants teams track these dates deliberately rather than relying on memory.
How does this tool calculate the periodic due dates?
You give it the award start and end dates and how often you report (monthly, quarterly, semi-annually, or annually). It generates a period end date for each interval, then applies your due-date rule — due on the period end, or a number of days before or after it — to get the actual due date. The final report always uses the exact date you enter, since closeout deadlines are usually set by the award letter rather than a formula.
Why doesn't the last periodic report show up separately from the final report?
When a periodic period would end on or after the award end date, it overlaps with the final/closeout reporting period, so the tool folds it into the Final Report row instead of listing two reports for almost the same period.
What goes into the downloadable CSV or Excel tracker?
One row per report, across every grant you've added: the funder name, reporting period, due date, staff owner, and the computed reminder dates, plus blank Status and Notes columns so your team can track progress once the sheet is in use. Rows are sorted by due date, not grouped by grant, so the tracker reads as one combined timeline.
What's in the .ics calendar file?
One all-day calendar event per report due date — across every grant you've added — with the reporting period and staff owner in the event description. If you select reminder timing, each event also carries built-in alerts (VALARM) at those offsets — 30, 14, 7, and/or 1 day before — so your calendar app surfaces the reminder on its own once you import the file.
Which calendar apps can import the .ics file?
Any calendar that supports the standard iCalendar format — Google Calendar, Outlook, Apple Calendar, and most others. Import it as a new calendar (or add it to an existing one) rather than opening it directly, so the reminders come through correctly.
Why do I need to enter my email to download?
The schedule preview is free to view with no email required. Downloading the tracker or calendar file asks for your email first, so Pelcro can follow up about its subscription billing platform — the same free-tool model used across pelcro.com.
Is my grant data sent anywhere?
No. Every calculation and file happens in your browser — the funder name, dates, and staff owner you enter are never uploaded. The only thing sent anywhere is the email address you provide to unlock the downloads, which Pelcro uses to follow up about its subscription billing platform. Your grant inputs are also saved in this browser's local storage so they survive a page refresh, on this device only.
